Managing referee availability across multiple leagues

When your matches arrive through different leagues, clubs and direct requests, each organiser sees only part of your diary. A simple personal record, updated before you accept another match, can reduce the chance of a clash.

Keep one personal source of truth

Put confirmed appointments in a calendar you control. Include kick-off, venue, travel time, competition, contact route and fee. Mark tentative offers differently from confirmed appointments so a pending request does not become an accidental promise to two organisers.

Leave enough time to travel between grounds and account for matches that overrun. If a fixture moves, update the personal calendar and every league or service where you declared availability. A date blocked in one system may remain open in another.

A short weekly availability routine

  1. Review commitments

Check confirmed matches, provisional appointments and personal commitments for the next few weeks. Include travel and preparation time.

  2. Close dates everywhere

Update each league's closed-date process and any marketplace availability settings you use. Keep a note of which systems you have updated.

  3. Recheck before accepting

Before replying to an offer or applying for a fixture, compare it with your personal calendar. Check the venue and likely finish time, not just the kick-off.

If two offers clash, contact the organisers promptly. Follow each competition's rules for declining or withdrawing from an appointment.

Using RefSorted alongside other leagues

On RefSorted, you can set available days and times and a travel radius to focus the team-posted fixtures you browse. Confirmed RefSorted fixtures appear in your RefSorted schedule. RefSorted does not import outside league appointments, close dates in other systems or guarantee protection from an external clash, so keep your own calendar current and check it before applying.

A RefSorted application is not a booking. The posting team reviews applications and confirms the referee. Read how RefSorted's availability and application flow works, and use our guide to the different routes for finding local matches when you have space in your diary.
